The following information is pertinent ONLY for those staff members who work the six-week Summer Semester or Summer Extended School Year (ESY).

The payroll warrants are also used to enter department and school extended employment for teachers throughout the summer

All summer work should be paid by 9/11/26 (SU0326).
Important: August 25 through August 31 are paid contract days for teachers. Extended employment project work on these days is only eligible for pay IF the work is done outside of teacher contract hours.

*August 2-August 15 are part of ESY. The remainder of the pay period is part of the regular school year.
IMPORTANT NOTE: ESY located at summer semester sites will have their time edited or entered by that site's Secretary.
Juneteenth, Friday, June 19, 2026 – Do not report to sites. This is an unpaid day for all employees who are part of the summer semester and ESY programs. Enter nothing in UKG Ready or Munis
Some ESY staff may work to assist students at job sites.
Independence Day Holiday - Friday, July 3, 2026
This is a paid day off for those that qualify.
Teachers
Summer semester secretaries should enter the number of hours they are scheduled for that day assuming they work the scheduled shift before and after the holiday.
- Middle Schools and Summer High School do not work on Fridays and are not paid for this date.
- Enter the scheduled hours with Pay Type 480 (SS) or 488 (ESY) for these dates.
- A teacher MUST WORK both the Thursday before and the Monday after the Independence Day holiday to be eligible for this pay. Personal illness, or other leave does not count.
Hourly/Biweekly Staff
- Holiday pay will auto populate in UKG Ready, but may require some editing.
- Middle Schools and Summer High School do not work on Fridays and are not paid for this date.
- The EA employee group working in the summer semester or ESY programs are eligible for holiday pay provided they are in paid status during the payroll period in which the holiday falls. If an employee is not scheduled for that day (excluding MS & HS), but works the same hours each day when working, the employee should receive the same hours of pay for the holiday.
- Security Assistants are to receive the number of hours scheduled for the day. If an employee is not scheduled for that day (excluding MS & HS), but works the same hours each day when working, the employee should receive the same hours of pay for the holiday.
- Clerical (SEE) & PL are paid if they work (or are in paid status) the day before and the day after and are scheduled for Friday.
- BRS, Hearing Interpreters and Therapy Assistants working the summer semester or ESY programs are NOT eligible for holiday pay.
Earning Personal Illness Time
Teachers
- An MMSD Teacher who teaches the full six weeks in Summer Semester and ESY will be granted one day of personal illness, which will be cumulative with their regular sick leave. These teachers may also use personal illness accumulated during the regular school year during the summer session. However, a day during the summer session shall consume a full day of accumulated sick leave. Secretary’s - Please submit Personal Illness time used directly to Payroll on an exception sheet. Do NOT enter any time in batches for PI absences. Personal Illness time will only be paid for existing staff if time is available in their accrual balance.
- Teachers hired just for the Summer Semester do not earn and are not eligible for any use of personal illness benefits.
Hourly/Biweekly Staff
- Personal illness time is earned each pay period as normal.
Jury Duty & Bereavement
Employees who are selected for jury duty during the summer semester will receive jury duty pay for the time that they are fulfilling their jury duties. Employees should submit to Payroll any payment (less mileage) that they received from the court for serving on a jury.
Employees are granted bereavement days during summer school. For teachers, both absences should be recorded on an exception sheet and e-mailed to Payroll. For staff on UKG Ready, the correct time off should be selected on their timesheet.
Substitute Teacher & Sub SEA Pay
- Both groups are paid for the hours they teach.
- Sub time is recorded on the provided Google form.
Exempt from School Location Time Entry
Secretaries are not responsible for entering time for the following list of staff positions:
- Principals (Central Office)
- Nurses (Nancy Koch Meyer)
- ESY not working at Summer Semester Sites (Student Services)
- Food Service (UKG Ready/Food and Nutrition Office)
- LMTS, Virtual High School, Summer Site Art Coordinators & Instructional Coaches (Nicole Hanson)
