Facility Rentals

Reservations for facility use for September 2024 - December 2024 will start being accepted as of July 1st. Reservations for facility use for January 2025 - June 2025 will start being accepted as of October 15th. Please note that weekend rentals in our schools require a minimum of 2 hours of custodial overtime @$46 per hour to open buildings for renters.

MMSD operates four high, twelve middle, and thirty-one elementary school buildings. Typical rooms available for rent include art rooms, auditoriums, cafeterias, classrooms, gymnasiums and meeting rooms. Child sized furniture is available in elementary schools, and adult size furniture is available in middle and high schools. Facilities may be available for public use after 6:00pm on school days and on weekends. Due to the expansion of MMSD summer school programs, use of facilities in the summer is extremely limited. Hourly rental fees apply along with custodial overtime when applicable. For additional fees, a limited amount of equipment is available, such as TV/DVD, volleyball poles/nets, tables and chairs. Additional paperwork is required to rent swimming pools and auditoriums.

How to Rent a Facility

  1. Know the date(s) and facility you need.
  2. Complete a Facility Rental Request Form and return to the Facility Rental Office 2-3 weeks prior to the first use date.
  3. Sign and return your facility rental contract.
  4. Use facility
  5. Pay invoice(s) upon receipt.

Rental Requests

Facility use requests must be received at least 2-3 weeks prior to event or first day of an ongoing rental. Due to the large volume of requests, we are unable to confirm availability and provide a rental contract on the same day requests are received. We will do our best to accommodate last minute rental requests (e.g. due to inclement weather).


If facilities are available as requested, a rental contract will be issued sent to the renter for signature. Changes or corrections must be made in writing and include the contract number. Sign and return one copy of the contract to the Facility Rental Office. Rentals are NULL and VOID if the Facility Rental Office does not receive a signed copy of the rental contract at least 5 days prior to the first rental date. Keep a second copy for your records and take to the school on the first rental date.


When MMSD schools are closed due to weather, rentals and public use are canceled at no penalty to the renter.  15 working days notice is required for canceling a rental and/or individual bookings (day, time). Renters canceling a booking 14 days or fewer before use will incur a $10 fee for each booking change. 


Payment due upon receipt of monthly invoices. Out of state renters must pay 1/2 of rental fee two weeks prior to rental date or rental contract will be canceled. Send payments to: MMSD Accountant, 328 E Lakeside St Madison WI 53715.

Automated External Defibrillators (AEDs) In MMSD Buildings

All District schools and buildings are equipped with automated external defibrillators (AEDs).  AEDs are stored in cabinets which sound an alarm when opened, alerting everyone of a possible emergency.  Community members should not tamper with the cabinets or AEDs. Staff members in each MMSD building have been trained to perform cardiopulmonary resuscitation (CPR) and use an AED during the school day. During after school, evenings and on weekends, there may NO District personnel to assist. AEDs are safe and easy to use, so if a medical emergency occurs while renters are using a District building, we encourage individuals who are certified in CPR/AED to call 911, start CPR, access and use the AED if needed. The MMSD Health Services Coordinator should be notified when an AED is used outside of the school day at or call 663-8427.
